Client Workstation Migration at Volkswagen Slovakia: Transition to the Unified i.do Client

  • The client workstation migration project at Volkswagen Slovakia addressed the challenge of outdated systems and a fragmented IT environment. The main goal was to transition to a modern, standardized i.do concept, which includes the Windows 7 operating system and Office 2010 suite, with minimal disruption to daily operations.

  • The migration was carried out systematically, combining technological solutions with a well-planned communication strategy aimed at employees. The project not only streamlined IT management but also built trust and fostered a positive relationship with users, increasing their willingness to adopt new technologies.

  • The entire process emphasized planning, testing, and continuous monitoring, minimizing risks associated with a large-scale deployment and ensuring a smooth transition throughout the organization.

The Challenge

Volkswagen Slovakia needed to migrate from the outdated Windows XP and Office 2003 environment to a modern and unified system. The primary requirements included ensuring a fast and secure transition, minimizing downtime, optimizing management costs, and achieving smooth acceptance of the new workspace among employees. The project required close coordination with multiple teams, effective communication with users, and thorough documentation of the entire process.

Our Solution

The solution involved migrating to the unified i.do client, which includes Microsoft Windows 7 and Office 2010 and is presented as a distinct brand. The project was executed in two phases, pilot and full rollout.

During the pilot phase, the technological foundation was prepared, including system images and installation packages tailored for Volkswagen Slovakia’s plant. Specialists tested specific applications and refined workflows and documentation processes. The pilot included 348 devices and was crucial for identifying and resolving technical issues before full deployment.

The full rollout involved careful preparation of the infrastructure, including Microsoft System Center Configuration Manager, SharePoint, and LAN. The project team focused heavily on informing management and employees about the migration process, including activities that would directly affect them and available points of contact for questions. Communication was provided in both Slovak and German to ensure maximum transparency and employee engagement.

Strict device handover procedures were managed by the Migration Team directly at users’ workplaces. Each employee was personally contacted, received their device according to a pre-agreed schedule, and was trained on the new environment. Data was backed up for three months, and the Migration Center operated 24/7 in three shifts.

A key aspect of user acceptance was the self-learning application, which provided an interactive and engaging way for employees to familiarize themselves with new features and workflows. This application remains available as a quick and clear source of information for users.

The right of access to personal data under Article 15 GDPR: 

The data subject shall have the right to obtain confirmation that the controller processes personal data concerning him or her. The data subject has the right to obtain access to his or her personal data (the right to be provided with a copy of the personal data held by the controller about the data subject) and information about how the controller processes it, to the extent provided for in Article 15 of the GDPR. 

The right to rectification of personal data pursuant to Article 16 GDPR: 

The data subject shall have the right to have personal data concerning him or her rectified if it is incorrect or to have it completed if it is incomplete.  

The right to erasure (right to be forgotten) under Article 17 of the GDPR: 

The data subject shall have the right to obtain from the controller the erasure of personal data concerning him or her without undue delay, under the conditions set out in Article 17 of the GDPR. This right of the data subject shall be assessed by the controller in the light of all the relevant circumstances in accordance with Article 17 GDPR. 

The right to data portability under Article 20 GDPR: 

Where the processing is based on consent or on a contract and is carried out by automated means, the data subject shall have the right to obtain his or her personal data which he or she has provided to the controller in a structured, commonly used and machine-readable format and shall have the right to transmit those data to another controller. As far as technically feasible, he or she shall have the right to have the data transmitted directly from one controller to another.

The right to restrict the processing of personal data pursuant to Article 18 GDPR: 

The data subject shall have the right to have the controller restrict the processing of his or her personal data if one of the cases referred to in Article 18 of the GDPR occurs (e.g. if the data subject contests the accuracy of the personal data during the period for verifying their accuracy).
